A written scope for a complex assignment

Custom Trade & Partnership Support

Coordination for sourcing, export documents and European–Arab business partnerships, shaped around your project.

Support built around your cross-border project

Some assignments need more than a supplier list or an initial introduction. They may involve several companies, an unresolved documentation issue, ongoing commercial coordination or a technology partnership with a proposed local manufacturing element. HMA offers custom trade and partnership support for Gulf and Arab businesses working with German and European counterparts.

A Custom Package begins with a defined problem and a written scope. We agree what HMA will do, what your team will provide, which deliverables are expected and how fees and reporting will work. This approach makes responsibilities visible before the engagement starts and allows the work to be adjusted as new information becomes available.

When a custom engagement is useful

You may already have a potential European partner but need help coordinating communication. You may be comparing machinery options, preparing a distribution proposal or trying to resolve missing export paperwork. Another project may need a structured discussion about technology cooperation and the roles of prospective local partners.

These situations involve different stakeholders and different risks. We first assess whether the task fits our experience and what independent specialist advice may be required. If the problem can be addressed through a standard Partner Shortlist or Partner Introductions engagement, those packages may provide a clearer starting point.

Examples of work we can scope

  • Communication and negotiation coordination with German or European business partners.
  • Follow-up on export documents and shipping-related communication.
  • Technology-transfer and local-partnership coordination.
  • Market-entry and localization discussions for Gulf and Arab markets.
  • Ongoing representation or project follow-up under an agreed mandate.
  • Coordination around used machinery sourcing and import requirements.

The exact activities depend on the assignment. Legal advice, customs clearance, technical certification, engineering design, funding approval and independent inspection require appropriate specialists and are not assumed to be included in a general coordination package.

From initial review to a written work plan

  1. Understand the situation. We discuss the objective, the parties involved and the obstacles currently preventing progress.
  2. Review available information. Your team provides the relevant company details, correspondence and documents that it is authorized to share.
  3. Define the mandate. We agree the activities, decision responsibilities, communication approach and boundaries of the engagement.
  4. Carry out the agreed coordination. We follow the work plan and report material responses, open questions and dependencies.
  5. Document the next steps. We summarize what has been completed and which actions remain with your company, its partners or specialist advisers.

Deliverables agreed before work begins

Your proposal may include a written situation summary, an action plan, a stakeholder and communication overview, coordination updates and a closing or handover summary. Where document follow-up is involved, we define the paperwork being pursued and the limits of the available information. For a longer engagement, we agree reporting intervals and review points.

We also identify tasks that require a separate quote or a change in scope. New markets, additional companies, substantial technical investigation or continued representation should be agreed explicitly rather than assumed to be part of the original request.

Experience with practical cross-border problems

In an anonymized export-documentation case, an importer had scanned documents but needed the missing paperwork for its import-clearance process. The German exporter was not responding. We reviewed the available information, traced shipment details and coordinated with the shipping company and relevant authorities to obtain replacement documents and certified copies where needed. The missing-document issue was resolved and replacement paperwork was sent to the destination.

Other selected experience includes agricultural-waste processing cooperation, renewable-energy partnerships, European EV charging partnerships for Gulf businesses, organic cosmetics sourcing and used production printing machinery imports. These examples illustrate different forms of coordination. They do not establish that a new project will have the same result or timeline.

Technology cooperation and implementation

A technology partnership may involve commercial terms, technical compatibility, local production plans, intellectual property and potential funding. Our role is agreed around coordination and communication. Any funding component remains subject to the relevant program and decision process; it is not a promised grant. Contract signing, implementation and production launch are separate milestones and should be documented as such.

Request a scoped proposal

Custom Package fees are agreed in writing. Share a concise account of the issue, the countries and companies involved, the outcome you need and any relevant deadline. A €200 Discovery Session provides 30 minutes to discuss the situation and identify a practical next step before a larger engagement is proposed.

Discuss your sourcing priorities

Start with a 30-minute Discovery Session for €200 on Google Meet, or send your company requirements for a scoped proposal.
